Improving Internal Comms Through Better Systems

I helped strengthen STA's internal communications infrastructure by improving how employees accessed information and how communications requests moved through the organization. THE CHALLENGE STA needed a more centralized way for employees to access organizational information, while Marketing & Communications needed a clearer process for receiving, prioritizing, and managing requests from across the organization. THE APPROACH I worked across teams on two connected initiatives: ∘ Developing an organization-wide intranet. ∘ Creating a structured communications request and project-management process. For the intranet, I researched platform options, communicated with vendors, contributed to platform selection, shaped content organization, developed branding and visual assets, and coordinated stakeholders. For the communications workflow, I helped develop a new process spanning nine stakeholders across Marketing & Communications, Community Engagement, and Organizational Transformation & Project Management. We established a workflow: Request → Intake → Review → Prioritize → Assign → Create → Approve → Deliver We implemented Monday.com to provide greater visibility into requests, responsibilities, priorities, and project status. RESULTS ∘ New organization-wide intranet initiative established. ∘ Communications workflow developed across multiple departments. ∘ Nine cross-functional stakeholders aligned around a shared process. ∘ Monday.com implemented as a centralized project-management resource. ∘ Greater visibility into communications priorities and project status. ∘ More consistent process for managing incoming communications work. WHAT I LEARNED A strong communications function isn't just a creative service. It is an operational system. Clear processes create the structure that allows creative work to happen more effectively.
